Position Summary

The Mailroom Clerk receives, dispatches, sorts, and distributes mail from multiple sources. These include but are not limited to local and international mail, Diplomatic Post Office (DPO) mail, diplomatic pouch material, and commercial courier services. The incumbent spends a large percentage of the time serving customers at the Mailroom service window. The incumbent is supervised by the Mailroom Supervisor with overall supervision by a designated Information Management Officer (IMO) employee.

 

Key Responsibilities

  • Ensures efficient mail flow and strong customer service.

  • Sorts and distributes incoming mail.

  • Prepare outgoing mail for dispatch, using local and international couriers as needed.

  • Provides window service, including accepting mail and assisting customers with Kiosk and “Click-N Ship”.

  • Maintains postal directory files, issues mailbox keys and combinations for arriving staff, and processes forwarding requests for departing staff.

  • Handle related phone and written inquiries, maintain records per retention requirements and safeguards valuable goods transiting the facility.

  • Maintains the integrity and safety of incoming-outgoing official mail.

  • Sorts and routes incoming local mail by subject, organization, or addressee.

  • Verifies outgoing mail (addressing, enclosures, postage) and prepares it for unclassified pouches or local postal service.

  • Maintains logs for correspondence, packages, and pouch-mail contents.

  • Explains mail procedures to mission staff.

  • Liaises with airport security, ground handlers, freight forwarders, and customs officials to ensure the secure and timely transit of diplomatic pouches.

  • Conducts rotating airport runs for pouch pickup and delivery and accompanies officers as needed.

  • Retrieves misplaced or delayed mail and operates government vehicles for scheduled mail runs while ensuring routine vehicle cleanliness, maintenance, and upkeep.

 

Required Qualifications

Experience: One year of experience in customer care, office assistance, or clerical work.

Education: Successful completion of high school or local equivalent.

Language Skills (may be tested):

  • English: Good working knowledge; speaking, reading & writing.

  • Spanish: Good working knowledge; speaking, reading & writing.

 

Technical Skills:

  • Good organizational skills

  • Thoroughness and accuracy in processing documentation

  • Ability to work well in a team environment

  • User knowledge of Microsoft Office Suite (Excel, Word, and Outlook)

  • Courteous and professional demeanor with excellent customer service skills

  • Ability to work independently on a routine basis

  • Willingness to work flexible hours, if required

  • Ability to lift 70 pounds and safely move up to 250 pounds with assistance from coworkers or mechanical devices.

 

Other Requirements:

  • All selected candidates must be able to obtain and hold a security certificate

  • Valid driver's license for standard / light vehicles
